Your organization
Organizations
An organization is where your business works, and your catalog, your integrations, your team and your subscription are all owned by it.
An organization is where your business works. You sign in as a person, and almost nothing you build is yours personally. The catalog, the integrations you connect, the listings the Repricer prices, the team and the subscription are all owned by the organization. Everyone you invite works on the same copy of it.
Your account is you: your name, the email address you sign in with, your language. An organization is the business. One account can be a member of several organizations, with a different role in each, and nothing you do in one shows up in another.
Most people come here for one of three reasons. They are setting up for the first time and have to decide whether to create an organization or join one someone else built. They need to change something about the business, most often its name or the currency it sells in. Or they are in two organizations and want to be sure which one they are looking at.
You will find all of it at account.readyforcommerce.com, on a screen called My Account. A sidebar down the left splits it into two groups. The Account group is about you, and profile and preferences covers it. The Organization group under it is this page, and it lists General, Team and Billing, with General as the one where the organization is named and configured.
Before you start
What your role lets you do
You have one of three roles in the organization, and it decides how much of this page you can act on.
A Member opens General and sees the same five settings written as plain text, with no dropdowns, and without the red section at the bottom that deletes the organization. An Admin sees those settings but not Billing, which the owner alone can open. So the Organization group in the sidebar is two entries long for an admin and three for the owner. The whole set of roles is in team, roles and permissions.
Changing the currency converts your prices
Changing the currency converts every price in your PIM catalog at today’s rate. Changing back converts them a second time, so the numbers you started with do not come back. Set it once, early.
How to set up your organization
Create your organization, or accept an invitation
The first time you sign in, Ready for Commerce shows you a screen called
Create a new organization. Type your business name into theOrganization namefield and clickCreate organization. If a teammate already uses Ready for Commerce, do not do this: ask them to invite you, and open the link in the email they send you instead.Open your organization settings
Go to account.readyforcommerce.com, click your avatar in the top right corner, and click the first row of the menu, which shows your name. That opens
My Account. In the sidebar on the left, underOrganization, clickGeneral.Set the currency you sell in
Click the
Currencyfield, type the name of the currency or its 3-letter code, and pick it from the list that appears.Set the units your products start in
Pick from the
Default Weight UnitandDefault Dimension Unitdropdowns, lower down the same page.Invite the rest of your team
Click
Teamin the same sidebar group, aboveBilling.
That is the whole setup. There is no Save button on any of it, because every field saves itself. You get Saved at the right edge of a field when the change is stored, and Error in red when it does not.
Everything below explains those settings one at a time, and covers switching between organizations, moving between the two products, leaving one, and deleting one. You do not need any of it to get started.
Every option in detail
The first section is the decision you make once, at the very beginning. The four after it follow the settings down the General page in the order they appear, and the rest cover what you do with an organization after it exists.
Create an organization, or join the one your teammate built
This is the decision that is hardest to undo, and the one most people get wrong on their first day.
If no one from your company has signed up yet, you create it. Creating an organization makes you its Owner. It also gives you Admin access inside both products, so nothing is closed to you later. The screen that asks for the name is titled Create a new organization, and it has one field, Organization name, and one button, Create organization.
You are never asked for your own name here. Ready for Commerce already made one for you when your account was created, out of your email address or out of your Google account. If it came out wrong, profile and preferences is where you correct it.
If a teammate already uses Ready for Commerce, ask them to invite you. The email they send has an Accept invitation button. Clicking it opens a page showing who invited you and the address the invitation went to. Under a heading called Your access it shows the role you are being given. If you are not signed in, you are asked to sign in first, and you come right back to the same page. Click Accept invitation there and you are in the organization they already built, with its catalog, its integrations and its data.
Accept with the same address the invitation was sent to. A different address is rejected instead of being let in with no warning, and the invitation lasts 7 days from the day it was sent. Asking for it to be resent gives it another 7.
Signing up separately does not fail and does not warn you. It creates a second, empty organization with its own subscription, and there is no way to merge two organizations or to move people between them in bulk.
If that has already happened, accept the invitation when it arrives. You are then in both, the switcher moves you between them, and you can delete the empty one.
Find your organization ID
Organization ID is the first field on General, the first entry under Organization in the My Account sidebar. It is the identifier of this one organization, you cannot edit it, and a small copy button is at its right edge.
It is the value to give when you write to support@readyforcommerce.com about this organization, since two organizations are allowed to share a name.
Name your organization
Organization Name is the field under the ID on General. Type into it and it saves itself a moment after you stop typing, and again when you click away.
The name takes up to 100 characters and any character you can type, so Peña & Sons, Ltd. goes in exactly as you wrote it. It cannot be left empty.
The name is what your team sees in the switcher and what appears on your invoices. Changing it changes both, immediately. Nothing else changes: no address changes, no data moves, and no one is signed out.
Choose the currency you sell in
Currency is the third field on the General page of My Account, and it is a dropdown you can type into. Click it and type the name of a currency or its 3-letter code to narrow the list, then pick one. There are 160 to choose from. US Dollar, Euro, British Pound and Canadian Dollar are at the top of the list, and the rest run alphabetically by name.
The currency there now was probably not chosen by anyone. When the organization was created it was guessed from the country you were in, so it is worth checking before you build a catalog rather than after.
Every price in the PIM is written in this currency, and none of them has a currency of its own. That is why changing the setting has to convert the catalog: prices, costs, compare-at prices, MAP and MSRP are all converted at today’s rate, so the numbers themselves change. A catalog of 500 variants or fewer converts while you wait. A larger one can take about a minute, and until it catches up you still see the old numbers.
The currency also has to agree with the places you publish to. A store or a seller account has a currency of its own. The PIM will not send a price to one that is not yours, because a price with no currency attached would be relabeled instead of converted. The connection itself keeps working. What fails is the sync, and the integration then shows a message saying its currency does not match your organization’s.
Amazon is the exception, because each Amazon marketplace has its own currency. The PIM prices those from the per-currency prices you set yourself, covered in pricing, and never from a conversion.
What happens to your per-currency prices when you switch
If you have already entered prices in the currency you are switching to, those are the ones you keep. Each becomes the normal price, and the per-currency entry goes away, since it now says the same thing twice.
Anywhere you have not entered one, the old price is converted at today’s rate. The old currency is not kept behind as a per-currency price, so switching there and back is not a round trip.
Per-currency prices in every other currency are left alone.
Choose the units new products start in
Default Weight Unit and Default Dimension Unit are the last two settings on the General page of My Account, and both are plain dropdowns.
These two decide where a new variant starts, and nothing else. Change either one and everything already in your catalog stays as it was, in the unit it was entered in. That makes them safe to change at any time, which is the difference worth remembering between them and the currency above.
Pick the unit you type most often, because it is the one you will not have to correct on each new variant.
Switch between organizations
The switcher decides which organization everything on your screen comes from. There is one wherever you happen to be.
All of them open the same short menu. At the top is a heading reading Organizations, then one row for each organization you are a member of, with a check mark on the one you are in. Create organization is at the bottom, under a dividing line. The rows are sorted by name.
Your choice follows you everywhere. Switch in your account and the PIM and the Repricer switch with you, so opening either one after that shows the organization you picked. You never have to switch twice.
The menu is there even when you are in one organization only, because it also gives you Create organization. Click that and you get the same naming screen described above, and the new organization becomes the one you are in.
If someone removes you from the organization you were last in, nothing breaks and nothing warns you. The next page you open moves you to an organization you are still in.
Move between your account and the two products
account.readyforcommerce.com is where you start. Signing in opens a page with one card for each product, the Repricer first and the PIM second, and a card is in one of four states.
The line under the product name is the only status you get. While a free trial runs it counts down in days. After that it is the state of the subscription, and plans and billing explains each one.
Clicking Start free trial starts a 30-day trial and makes you an Admin inside that product. The button waits a few seconds while your organization is set up inside the product, then takes you right in, so there is no second click. If the setup runs slow it takes you in anyway after about 10 seconds. You also get an email telling you the trial has started.
An owner can open both products whether or not they have a role in either, so an owner cannot lock themselves out. An admin gets a role in the product they turned on, and in nothing else. That is why an admin can be looking at a padlock and No access on the other card.
One sign-in covers your account and both products. Inside the PIM or the Repricer, two controls are in the top right corner. One is a grid of squares that brings you back to the product cards. The other is your avatar, whose first menu row opens My Account.
Leave an organization
Everyone except the owner can leave on their own.
In the My Account sidebar, under Organization, click Team, and scroll to the bottom of that page. Under a red heading reading Danger zone there is a bordered card called Leave this organization, with a Leave organization button on its right. Click it, and a dialog opens over the page asking you to confirm.
You lose access to the organization and to every product in it immediately, and an admin has to invite you again to give it back. Nothing you built comes with you.
The owner cannot leave, and cannot be removed. An organization has exactly one owner at every moment. An owner who wants out has two ways to get there. The first is to transfer ownership to someone else, which makes them the Owner and you an Admin. The second is to delete the organization.
Delete an organization
Deleting an organization permanently removes every piece of data attached to it, in both products: the catalog, the integrations, the listings, the team, product access and billing. There is no undo and no restore.
Only the owner can delete one. The Danger zone at the bottom of the General page is not shown to anyone else, so an admin who cannot find it is not looking in the wrong place.
Inside it is a bordered card called Delete this organization, with a Delete organization button on its right. Click that button and a dialog called Delete organization opens, with a red banner reading This action is irreversible.
The dialog asks you to type two things: the organization’s name, exactly as it is written, and then the word DELETE. The Delete button stays gray until both match, and Cancel closes the dialog without doing anything.
The subscription is canceled along with the organization, so there is nothing left to close after that. You come back to the product cards, or on the naming screen if that was the only organization you were in.
Deleting an organization is not the same as closing your account. Your account stays exactly as it was. There is no way to delete a personal account from inside Ready for Commerce.
Limits
What an organization cannot do
What the organization owns, and what stays yours
Two things about this split surprise people the first time. Almost everything you would call yours is actually the organization’s, and the little that is genuinely yours follows you into every organization you join.
No one gets a private copy of anything in the left column. Two people in the same organization open the same product and see each other’s edits. Nothing in that column comes with you when you leave, and nothing in it changes when you switch to another organization: you are simply looking at a different one.
The right column is covered in profile and preferences, and it is the same in every organization you are a member of. Set your language once and it is your language everywhere.
Your role in the organization and your role inside a product are two separate things. The roles table above decides what you can do to the business itself. That is renaming it, inviting people, and paying for it. A second role, given to you per product, decides what you can do inside the PIM or the Repricer. Being an Admin of the organization does not by itself open the catalog, and being a Manager in the PIM does not let you see an invoice. The owner is the one exception, and can always open both products. Team, roles and permissions sets out both sets of roles in full.
When something goes wrong
You are looking at the wrong organization
An empty catalog, a team with one person in it, or an integration you are sure you connected are almost always the same thing. You are in a different organization from the one you meant.
Open the switcher and read the name in it. That name is the organization everything on the screen comes from. Pick the right one and the page reloads against it.
If you are in no organization at all, every page in your account sends you to the screen that creates one. You cannot get past it until you have created one or accepted an invitation.
A setting will not save
Error appears in red at the right edge of the field, and the value you had before comes back on its own. Make the same change again, and reload the page if it fails a second time.
A field you can read but cannot click is not a fault. It means your role is Member, and the whole of General shows as plain text for you.
